    We use this to communicate with you about your sessions. We will primarily use the method you first contacted us on. If we are unable to reach you, we may try another method.

  • Next of Kin/Medical Professional Details
    These details are collected as a precaution. In the unlikely event that we are concerned about your safety, we may contact your next of kin or medical professional. We will always inform you beforehand if this action is necessary.

  • Session Notes
    We keep brief, confidential notes from our sessions for personal reference. These notes help us track your progress and provide better support.

2. How We Use and Share Your Data

Your data is treated with the highest level of confidentiality and will not be sold or used for unethical purposes. It is very unlikely that we will share your information, but there are some exceptions:

  • Legal Requirements: If our notes are subpoenaed by a court.

  • Safety Concerns: If you or someone you mention is at risk of harm, we may be required to share this information.

  • Supervision: We may discuss your case with a supervisor to ensure the best care. However, only your first name is used, and your identity is protected.

3. How We Store Your Data

  • Session Notes: Initially stored as hard copies in a locked filing cabinet. After sessions conclude, the notes are transferred to a password-protected computer and stored under your initials.

  • Phone Numbers: Stored in a business mobile phone, identified only by your first name and last initial.

Access to all data is restricted to the therapist.

4. Data Retention and Disposal

We retain your personal details and session notes for a maximum of two years from the date of your last session. After this period:

  • All documents with your personal information will be securely destroyed.

  • Your phone number will be deleted from our mobile phone.
